Technical FAQs—Downloading transactions to Microsoft Money

Downloading to Microsoft Money

You can download and export up to 18 months' worth of Vanguard transaction history into Money. After you download your data, your operating system should automatically recognize the file and import it directly into your Money records. The software will compare the new download with older information to record only new transactions and eliminate any duplicates. This service will work for the Money Plus Sunset versions only.

Vanguard cannot provide technical support for Money. For technical assistance, we recommend visiting Microsoft's website.

Backing up your transaction data

We strongly recommend backing up your transaction data before making any changes:

  1. Click the File menu, then Back Up.
  2. Choose a location to back up your file, then click OK. Money will back up your data file and return you to your information.

What types of accounts can I download my transactions for?

You can download transactions for these Vanguard account types:

  • Personal nonretirement accounts such as individual, joint, and trust accounts.
  • Personal retirement accounts such as traditional IRAs, Roth IRAs, and rollover IRAs.
  • Vanguard Brokerage Services® accounts.
  • Vanguard 529 accounts.
  • Vanguard annuity accounts.

Note: For employer-sponsored retirement plans such as 401(k), 403(b), and some types of pension plan accounts, you can only download your account holdings, not transactions. Vanguard 529 downloads are available by clicking View account details on the Balances & holdings page.

What's the difference between "Download all funds into a single Money account" and "Download each fund into separate Money accounts"?

  • Download all funds into a single Money account. This option groups accounts by Vanguard account number, so that a single Money account holds two or more Vanguard funds in aggregate (similar to the way a brokerage account operates). This is the most popular option with our users, as it allows them to group all their funds. This choice is available whether you download transaction information from within Money (Direct Statements) or through Vanguard.com (Active Statements).
  • Download each fund into separate Money accounts. This option treats each Vanguard mutual fund as a separate Money account. This choice is available only if you use Active Statements (by first logging in to Vanguard.com) to download to Money.

Note: Backing out of changes in Money can be difficult. We recommend, therefore, that you back up your data file before downloading transactions.

Why doesn't my balance match what's shown on Vanguard.com?

Three scenarios can cause the balance to differ:

  1. Incorrect cash balance. Your accounts at Vanguard do not track a cash balance. When you invest with us, we immediately purchase mutual fund shares with your investment. For this reason, the cash balance of your account registers in Money should remain at zero between transactions. See your software's Help files for instructions on adjusting the cash balance.
  2. Incorrect share balance. If the number of shares and price per share are correct, the ending market value of your accounts should match your Vanguard balance. If the number of shares is incorrect, download the latest transactions from your account. If you've just created a new account and downloaded for the first time, enter the account balance as of the day before the first transaction downloaded. If you've recently downloaded transactions and entered your starting balance, compare your account history in Money with the account history provided on Vanguard.com to identify and correct any discrepancies.
  3. Incorrect share price. When you download your recent transactions from Vanguard.com, we provide the value of the funds as of the day of the download. We do not update the share prices for funds that have no current holdings. If you do not download transactions for a specific fund, you may need to download the current share price for the fund through Money. See your software's Help files for instructions on downloading quotes for securities.

Note: Vanguard provides price information during a transaction download; however, Money may override our information with quotes it receives internally. MSN Money, through its relationship with Microsoft, provides quotes for Money. Vanguard cannot guarantee the accuracy of price information downloaded from the Money servers.

What happens to my transaction data if I convert to Admiral Shares?

If you convert your Vanguard investor funds to Admiral Shares, Vanguard treats the conversion as a nontaxable event. Subsequently, there will be no capital gains or losses associated with the fund conversion.

If you choose to download the transactions, they'll automatically appear in the associated accounts, depending on how you track your Vanguard accounts in Money. If you track them by account number only, they'll appear as new funds in the accounts and Money will prompt you to add them to the security list. If you track them by fund and account number, you'll have to create a new account in Money to track the Admiral Shares account. Your Investor Share account balance will be reduced to zero.

If you choose to enter the conversion manually, please enter it as shown below. This is how the conversion will appear if you choose to download it from our website or from Money.

  • In the Investor Shares Fund:
    • Activity = Remove Shares
    • Investment = [Name of Fund] Investor Shares
    • Date = [Date of Conversion]
    • Quantity = [All your Shares]
    • Memo = Admiral Conversion Out
  • In the Admiral Shares Fund:
    • Activity = Add Shares
    • Investment = [Name of Fund] Admiral Shares
    • Date = [Date of Conversion]
    • Quantity = [All your Shares]
    • Memo = Admiral Conversion In
    • Price = [Fund Price]
    • Total = [Number of Shares] x [Price Paid]
